Exhibit FAQs
What are the official exhibit dates and hours?
The exhibit hall will be open:
- May 11, 2011: 7:00 AM – 3:00 PM; 5:00 PM – 7:00 PM
- May 12, 2011: 7:00 AM – 1:30 PM
What are the installation and dismantle hours?
Installation begins:
- May 10, 2011: 10:00 AM – 4:30 PM
* All exhibits must be installed by 4:30 PM on May 10, 2011.
Any exhibits not installed will be done so at exhibitor's expense.
Dismantling begins:
- May 12, 2011: 1:45 PM – 4:30 PM
What does it cost to exhibit?
- Inside 10x10 Booth: $2,700
- Corner 10x10 Booth: $2,900
- Corner 10x20 Booth: $5,900
- Island (20 x 20) Booth: $20,000
Custom booth spaces are available; please inquire for pricing.
What is included with my exhibit fee?
Your exhibit fee includes the full pipe and drape and (1) identification sign. Table(s), chair(s), and any additional furniture are available for rental through SHM's official decorator, Hargrove, Inc. and are not included in this price. The exhibit hall is not carpeted; all exhibitors must order carpet through the Hargrove, Inc. exhibit service kit.
What is included if I select the upgraded exhibitor listing in the Onsite Meeting Guide?
Your company's full color logo placed next to your company name, booth number and 50-word description. Logo must be received by March 4, 2011 to be included in the printed piece. Additional fee of $500 applies.
Do you have a room block at the Gaylord Texan Resort & Convention Center?
Yes! The Gaylord Texan Resort & Convention Center is located 10 miles from the Dallas-Fort Worth Airport (DFW). Reservations can be made by calling 866-782-7897 and referring to the Society of Hospital Medicine's room block or online at www.hospitalmedicine.org/annualmeetinghotel. Discounted rates are available for reservations made on or before April 12, 2011 at $220 (single/double).
How many representatives are allowed per booth?
SHM allows complimentary registration for 2 representatives per 10x10 booth. Additional badges are $75 each.
Does my exhibitor badge allow me access to the General Session or Breakouts?
Unfortunately not. If you wish to attend the meeting, you will need to register separately at a discounted rate of $350/exhibitor. You must be registered as an Exhibitor in order to receive this discounted rate.
How do I secure my preferred booth space at Hospital Medicine 2011?
It's simple, just complete the Exhibit Application/Contract and send a full payment in the form of a check or credit card. Booth assignments are made on a first come – first served basis for applications submitted by the Priority Points Deadline.
Can you hold a booth while I get my check request processed?
Unfortunately not.
What forms of payment are acceptable?
We accept check and credit card payment (Visa, MasterCard and American Express).
Is there a deadline for exhibit applications/contracts?
We accept applications/contracts until space is sold out. To include your company listing/description in the Onsite Guide, we need to receive this information by March 4, 2011.
How do I order electrical, Internet, leads retrieval, carpet, tables/chairs and other services for my booth?
Hargrove, Inc. is the official decorator for HM11. You will receive an email, approximately 60 days before the meeting, containing the link and individual company log-in information to view and order services for the show. Please pay attention to early deadlines to save you time and money. For any exhibitor service related questions, please contact Hargrove's Exhibitor Services Department at 301-306-4627. Please note it is mandatory to order carpet for your booth.
When will we receive a mailing list so that we can promote our booth at the meeting?
You will receive the pre-show mailing list 4 weeks prior to the meeting and a post-show mailing list 2 weeks after the meeting.The lists will include physical mailing addresses only (email addresses are not available). Each mailing list is to be used for a one time mailing and subject to the terms and conditions that will be included when we forward the list.
Does SHM permit social/hospitality events?
Yes, however they cannot conflict with any SHM scheduled meetings or events including the Poster & Exhibit Reception on May 11, 2011 and Satellite Symposia throughout the conference. Violation of this policy will result in exhibitors not being able to participate at future SHM meetings.
Does SHM offer job posting opportunities at the conference?
Yes! The job posting board will be placed inside the exhibit hall in a highly visible area over the main conference dates and is a very important resource for attendees. The job posting fee of $600 includes one (1) single sided sheet, no larger than 8½"x 11" full color or black and white. Included in your posting fee is the ability for you to provide SHM with a maximum of 500 copies of your job posting to be placed under the job board for attendees to take with them. Please note that this does not allow for a face-to-face representative. If you prefer a representative to meet with meeting attendees, please exhibit.
Can my non-profit hospital or group get a booth at the non-profit rate?
Yes, SHM offers a non-profit rate for those who wish to be placed within the non-profit pavilion show floor. If you would like to be placed in another location outside of this pavilion, the regular exhibit fees will apply. Once the non-profit pavilion is filled, regular exhibit fees will apply.
